End-to-End Salesforce Revenue Cloud Implementation – Transforming the Quote-to-Cash Lifecycle
01
Project Overview
The client wanted to streamline its revenue management operations by bringing the entire Quote-to-Cash (Q2C) lifecycle into a centralized Salesforce Revenue Cloud platform. Managing opportunities, complex pricing, quotations, approvals, contracts, subscriptions, renewals, and revenue tracking across different processes created operational challenges.
AwsQuality implemented an end-to-end Salesforce Revenue Cloud solution to connect the complete commercial journey, from opportunity creation and quotation to contract execution, order activation, subscription management, and renewals. The solution also introduced flexible pricing models, automated order form generation, electronic signature integration, subscription lifecycle automation, and centralized Annual Recurring Revenue (ARR) tracking.
Additionally, we integrated Stripe with Salesforce in a read-only capacity, enabling users to access subscription, invoice, payment, and credit information directly within Salesforce.
About the Client
The client is an enterprise-level provider of one of the world's first full-stack Agentic AI Quality Engineering platforms, helping organizations modernize software testing and quality engineering through intelligent automation and AI-driven capabilities. With a subscription-based business model and complex commercial requirements, the organization needed a scalable revenue management solution to streamline its sales, subscription, and renewal operations.
02
The Business Challenges
The client needed a unified revenue management platform to simplify commercial operations, support complex subscription models, and improve visibility across the revenue lifecycle.
The key challenges included:
- Disconnected Quote-to-Cash Processes: Managing opportunities, quotations, approvals, contracts, orders, and subscriptions across different processes made it difficult to maintain a connected commercial workflow.
- Complex Pricing and Discount Management: Supporting monthly and annual pricing, customized deals, multi-year contracts, changing quantities, and discount approvals required flexible pricing capabilities.
- Manual Order Form and Contract Generation: Creating branded order forms, processing subscription amendments, and combining order forms with Master Service Agreements (MSAs) involved additional manual effort.
- Subscription Amendments and Lifecycle Management: Managing upgrades, downgrades, additional products, co-terming, proration, unused-term credits, and scheduled subscription changes required greater automation and accuracy.
- Complex Renewal and Churn Management: The client needed automated renewal opportunities and quotations while preventing duplicates and managing cancellations, subscription changes, and customer reactivation.
- Limited ARR and Revenue Visibility: Tracking expansion, contraction, churn, renewal ARR, and Net ARR across deals, customers, tenants, and accounts required a centralized reporting framework.
- Limited Billing Visibility Across Systems: Subscription and billing information in Stripe needed to be accessible within Salesforce to help revenue and finance teams review transactions and identify discrepancies.

AwsQuality's Solution
AwsQuality implemented a comprehensive Salesforce Revenue Cloud solution to automate the client's Quote-to-Cash lifecycle and support its subscription-based business model. The implementation connected commercial workflows, subscription operations, billing visibility, and revenue reporting within Salesforce.
Key elements of the solution included:
End-to-End Quote-to-Cash Automation:
Implemented a connected Quote-to-Cash workflow covering lead and opportunity management, product selection, quotation creation, pricing approvals, contract management, order processing, and subscription activation. Automated renewal opportunities and quotations to establish continuity across the complete commercial lifecycle.
Flexible Pricing and Discount Management:
Configured pricing capabilities to support monthly and annual subscriptions, customized deal pricing, and multi-year ramp pricing. Implemented discount approval workflows and automated pricing rules to maintain consistency across quotations, orders, and subscription amendments.
Automated Order Form Generation:
Developed automated document generation to create branded order forms directly from Salesforce deal information. Enabled one-click document generation, amended order forms for upgrades and downgrades, before-and-after quantity comparisons, and consolidated PDFs combining order forms with customer MSAs.
Integrated Electronic Signature Management:
Integrated Salesforce Revenue Cloud with SpotDraft/DocuSign to streamline document execution. Enabled users to send order forms for electronic signatures, track signature status, manage declined requests, and automatically activate orders after the required signatures were completed.
Automated Subscription Amendments and Renewal Management:
Implemented subscription lifecycle automation to manage upgrades, downgrades, additional product purchases, co-terming, scheduled changes, and unused-term credits. Automated renewal opportunity and quotation generation, synchronized renewal records with mid-term subscription amendments, and introduced duplicate prevention across renewal cycles.
Churn, Cancellation, and Customer Reactivation:
Developed structured workflows to manage subscription cancellations, churn, and customer reactivation. Automated the closure of relevant renewal opportunities and pending subscription changes when applicable, while enabling one-click customer reactivation with associated commercial information.
Comprehensive ARR Management and Revenue Reporting:
Designed a centralized ARR tracking framework to calculate and monitor recurring revenue across deals, customers, tenants, and accounts. Enabled tracking of Prior ARR, Renewal ARR, Change in ARR, Expansion ARR, Contraction ARR, Churn ARR, and Net ARR, supported by preconfigured reports and management dashboards.
Stripe Integration for Billing Visibility:
Integrated Stripe with Salesforce in a read-only capacity, providing access to active and historical subscriptions, invoices, payments, credits, and related billing information. Implemented synchronization of relevant billing data and automated identification of discrepancies between Salesforce commercial records and Stripe billing information, helping teams investigate revenue exceptions.
Guided User Adoption and Product Catalogue Migration:
Migrated the complete product catalogue into Salesforce Revenue Cloud and implemented in-app guidance to help sales representatives navigate quotation creation, approvals, order processing, and subscription changes. Aligned product configurations and pricing structures with the new revenue management framework.
